Helping schools save money on print so you can put that cash into teaching

The AoG Print technology and associated services contract (Print devices) delivers an average 14% savings, and it also provides a team at NZGP ready to help schools and kura at any time.

"Don’t be embarrassed about asking us for advice.' says Senior Commercial Specialist Clare Connell. "We’re proud to help out New Zealand's educators. It's incredibly satisfying. We’re never too busy to help a school."

A spokesperson for Karori Normal School said their move to the AoG contract saved them money.

"NZGP helped us identify our key requirements and we found the tender process went smoothly as a result. We think we have saved over $3,000 in printing costs so far this year. Well worth it. Thank you NZGP."

Wellington Girls College', with over 1,420 students, has used the AoG Print devices contract since 2016.

The school has stuck with its AoG supplier contract because it provides several benefits including value for money, the flexibility to change within the term of the contract should they need to, and onsite support within 3 hours to fix any issues so the school can get back in production.

"A lot of schools have had less than ideal experiences with a variety of non-AoG contracts. We get it and want to help schools understand and evaluate their options," says Clare.

There are several challenges educators and administrators face when dealing with print contracts outside of the AoG programme.

There's a lot of gobbledygook that can bamboozle people, said Clare.

"People might sign things without understanding the full extent of the deal they are getting," says Clare. "There’s often 'fine print' in non-AoG contracts that doesn't always match what’s been verbally promised."

"There might be, for instance, allowance for charges to be increased whether linked to Consumer Price Index increases or at the company's discretion."

Another example of what schools and kura can face is many non AoG contracts continue until contracted print volumes are met: with different volumes for colour copies and black and white copies.

"The volumes may be unrealistically high, and still not met after several years, when the equipment starts to have problems. The school might need to enter into a new contract for new equipment, with high termination costs for the previous contract."

Clare says there’s never a wrong time to look at switching to an AoG contract.

"There are huge benefits to signing onto the print devices AoG, including no freight for toners. There are also no minimum print volumes. Your contract (Statement of Work) is for a set time. We recommend 5 years.

"Prices are set. The “Cost per Copy" (CPC) charges are set for the term of the Statement of Work, so they won't be increased. And charges for things like moving devices between buildings are set."

Schools and kura can work with NZGP to help decide if it's best to end a non-AoG contract early and move to an AoG contract.

It’s really easy to use the AoG Print devices contract, said Clare.

"You don't have to be a procurement specialist or hire a lawyer. You can just reach out to 1 of us in the team for help. Once you’ve joined you can approach 1 or more of the providers and negotiate a Statement of Work."

"We recently contacted a school because in their draft Statement of Work each of the 5 new photocopiers had a booklet finisher – which cost over $2,000 each. The school decided 2 booklet finishers were enough. This single change saved the school over $7,000 over 5 years."
